# **Extension Management**

**Extension Management** is the screen where you can view the extensions defined on your PBX, add new extensions, edit existing extension details and export the extension list. It lets you manage all your extensions easily from one place.

- Follow **PBX Settings > Advanced Setup > Extensions**from the left menuto reach the extension management screen.
- At the top of the screen, the **current number of extensions** used on your PBX and the **maximum number of extensions** you can define are shown. This lets you track your extension usage capacity.
- The extension screen lists all extension users defined on your PBX. The list includes information such as **Extension Name, Extension/Password, Status, Forwarding, Voicemail, Outbound Number, IP Restriction, Call Authorization**.
- You can customize the columns shown in the extension list to suit your needs. To do so, click the **Column manager** section and toggle the columns you want to display on or off.

## **Adding an Extension**

Add Extension is the screen you use to create a new extension in your system. From this screen you can enter the extension's basic information and also configure advanced call settings.

- Follow **PBX Settings > Advanced Setup > Extensions** from the left menu to reach the Extensions screen, then click the **Add** button.

### **Basic Settings**

In the Basic Settings section of the screen that opens, enter the following information for the extension:

- Extension No
- Display Name
- Connection Type
- Extension Group
- SIP Username
- SIP Password

***Tip:**Instead of entering your SIP password manually, you can generate one by clicking the**Generate Password**button.*

### **Advanced Settings**

After entering the basic information, move on to the Advanced Settings section, where you can make more detailed configurations specific to the extension. The settings in this section are:

- **Incoming Calls:** Settings for calls coming in to the extension
- **Outgoing Calls:** Settings for outgoing calls made from the extension
- **Call Recording:** Determines whether calls will be recorded
- **Status Indicator:** Shows the extension's status (available, busy, etc.)
- **Call Forwarding:** Forwards incoming calls to another line or extension
- **Security and IP Control:** Restricts access to the extension to specific IP addresses, plus security settings

Once you have completed your basic and advanced settings, click the **Save** button on the screen to save your new extension.

## **Editing an Extension**

**Edit Extension** is the screen where you can update the basic and advanced settings of an existing extension defined on your PBX. It lets you edit extension details, call settings and security configurations as needed.

- To edit an existing extension, follow **PBX Settings > Advanced Setup > Extensions** from the left menu.
- Find the extension you want to edit in the extension list. Click the **three-dot** icon at the far right of the row and select **Edit** from the menu that opens.

- On the screen that opens, you can update the extension's basic information in the**Basic Settings** section. In the **Advanced Settings** section you can edit the extension's call management and security settings.

Once you have made the required changes, click the **Save** button to save them.

***Note:**The extension number cannot be changed. For a new number, delete the existing extension and create it again.*

## **Bulk Delete**

To delete several extensions at once, select the checkboxes next to the extension records you want to delete. After making your selection, click the **Bulk Actions** button that becomes active and use the **Delete** option to remove the selected extension records in one go.

## **Exporting the Extension List**

You can export your extension list in **Excel** or **CSV** format. To do so, click the **Download icon** on the screen and select the format.
